Most of the time lost in running a project isn't the work itself. It's the jobs around it: deciding what needs you today, turning a meeting into tasks, and writing the Friday status update. Those are the jobs an AI app is good at, as long as it can see your real tasks instead of whatever you paste into the chat.
This guide shows how to connect Claude or ChatGPT to Arkscape, the prompts that pay off first, and how to stay in control of what it changes.
Connect it once
In your AI app, add a custom connector with this address, then sign in to Arkscape when it asks:
https://api.arkscape.com/mcp
Before you approve, Arkscape shows exactly what the app is asking for. Two choices matter:
- Which Arkboards it can reach. "All Arkboards" includes groups you join later. If you share only some, everything else is invisible to the app: it isn't listed, searched, or reachable by link.
- Whether it can make changes. Leave changes off at first if you'd rather watch what it reads. You can turn them on later in Settings, Connected Apps, without reconnecting.
The AI connectors guide has the exact steps for Claude, ChatGPT, and Claude Code.
Start with your agenda
The most useful first prompt is the simplest one:
What should I work on today?
It answers from your own Arkboard: what's overdue, what's due today and this week, and which requests are waiting for your answer. Because group cards you're on sit on your Ark too, that one answer covers every project you're part of, which a chat you paste things into never could.
From there, ask it to plan the week:
Plan my week. Overdue cards first, then what's due soonest. Tell me if anything looks unrealistic.
Turn a meeting into cards
Paste your notes and name the board:
Here are my notes from today's client meeting. Turn the action items into cards on the Harbor Rebrand board, with due dates where we agreed on one.
It shows you the list before creating anything, then creates up to 20 cards at once, in the order you gave them. Each card is checked before any is created, so a typo in one doesn't leave half a list behind.
Let the board write the status update
Status updates are where the most time disappears, because someone has to reconstruct what happened. Arkscape's group Reports already track it: what was completed, what's overdue, what has stalled, and who is carrying what. The AI reads that, so the update reflects the board instead of memory:
Write a weekly status update for the Commercial project group from the last 7 days. Structure it as done, in progress, risks, and next.
Progress summaries come from Reports, so they follow the same plan and access as the Reports tab.
Keep it honest
A few habits make an AI assistant safe to use on shared work:
- Ask it to confirm before changing anything. The ready-made prompts already do; for your own prompts, say "show me first".
- Let the version check do its job. If a teammate edited a card after the AI read it, the change is refused and the AI has to read the card again. Nothing of theirs gets overwritten.
- Check its recent changes. Settings, Connected Apps shows what each app changed for you lately.
Your teammates see its changes labeled with your name and the app, like "Completed by Maria Santos via Claude". You're still the one responsible for them, which is the point: the AI does the typing, and you make the calls.
What it can't do yet
It won't ask other people to take cards on, take a card over from someone, or step down from a card for you. It deletes only cards you created that nobody else is on. It doesn't read your posts, messages, or files, apart from the discussion attached to a card, and it never sees anyone's email address.
